This Privacy Policy explains how Case Room collects, uses, discloses, and protects personal information when you visit the site, create an account, practice a case, buy credits, review scorecards, or contact us.

This page describes current product practices in plain English and should be reviewed by counsel before launch. If you do not agree with this policy, do not use Case Room.

1. Information we collect

We collect information you provide directly, information created through your use of the service, and information from service providers that help operate Case Room.

  • Account information, such as email address, display name, authentication provider details, email verification status, and account settings.
  • Authentication and session information, such as session cookies, login timestamps, password reset or verification token records, and security metadata.
  • Practice content, such as selected cases, spoken or typed responses, transcripts, interviewer messages, scorecards, session progress, attempt counters, and related metadata.
  • Voice and audio information, such as candidate recordings, generated interviewer audio, audio object paths, timing data, and transcript quality metadata when audio persistence is enabled.
  • Payment and credit records, such as selected plan, credit balances, checkout status, provider session or payment identifiers, redeemed case, amount, currency, and purchase metadata. Payment card details are handled by payment providers and are not meant to be stored by Case Room.
  • Usage and device information, such as pages viewed, product events, browser and device data, request identifiers, API usage records, diagnostics, errors, and approximate operational logs.
  • Support and communication information, such as messages you send to Case Room and any contact details included in those messages.
  • Cookies, local storage, and similar technologies used for sessions, product state, diagnostics, preferences, analytics, and debugging.

2. How we use information

We use personal information to operate, secure, support, and improve Case Room.

  • Provide accounts, authentication, case access, credits, checkout flows, practice sessions, transcripts, recordings, and scorecards.
  • Generate AI interviewer responses, transcribe speech, synthesize voice playback, evaluate practice sessions, and display feedback.
  • Track entitlements, attempts, usage, product limits, scorecard job status, and credit balances.
  • Process purchases, confirm checkout status, prevent duplicate payment handling, and respond to payment or credit issues.
  • Monitor reliability, debug errors, improve performance, secure the service, prevent abuse, and enforce our Terms of Use.
  • Understand product usage through analytics and diagnostics so we can improve onboarding, case quality, scorecards, and user experience.
  • Communicate with you about your account, support requests, product changes, and legal or security notices.
  • Comply with legal obligations and protect the rights, safety, and security of Case Room, users, service providers, and the public.

3. AI and infrastructure providers

Case Room relies on third-party providers to deliver core product functionality. These providers may process personal information, practice content, transcripts, audio, usage records, or technical metadata only as needed to provide their services to Case Room, subject to their contracts and policies.

Current provider categories and examples include OpenAI for AI responses and scorecard workflows, Deepgram for speech-to-text, ElevenLabs for text-to-speech, Dodo Payments for checkout, Firebase or related authentication services, PostHog for product analytics, Sentry for error monitoring, Google Cloud Storage for audio storage, and database or hosting providers for application infrastructure.

4. How we disclose information

We disclose personal information to service providers and contractors that help us run Case Room. We may also disclose information if needed to comply with law, enforce our terms, protect rights and safety, investigate fraud or security issues, or complete a business transaction such as a merger, financing, acquisition, or asset sale.

We do not knowingly sell personal information. We do not knowingly share personal information for cross-context behavioral advertising. If that changes, we will update this policy and provide any legally required choices.

5. Cookies and analytics

Case Room uses cookies, local storage, session storage, and similar technologies for login sessions, account state, product preferences, diagnostics, analytics, and debugging. Some of these technologies are necessary for the service to work. Others help us understand and improve product usage.

Your browser may let you block or delete cookies. Some Case Room features may not work correctly if you disable required cookies or storage.

6. Retention

We keep personal information for as long as needed to provide the service, maintain account and payment records, preserve scorecards and practice history, troubleshoot issues, improve the product, comply with legal obligations, resolve disputes, and enforce agreements.

Retention periods may differ by data type. For example, account and payment records may be retained longer than short-lived diagnostics, and practice transcripts or recordings may be retained while your account remains active unless deleted earlier through product features or support handling.

7. Your choices and rights

You may contact rohit@caseroomprep.com to request access, correction, deletion, or export of personal information associated with your account. We may need to verify your identity before fulfilling a request, and some information may be retained where required or permitted by law.

Depending on where you live, including certain US states such as California, you may have rights to know what personal information is collected, request deletion or correction, receive a portable copy, opt out of certain sale or sharing practices, limit certain uses of sensitive personal information, and avoid discrimination for exercising privacy rights. Case Room will respond to applicable requests as required by law.

8. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. These include access controls, signed storage URLs for certain audio access, provider authentication, session security, and production monitoring.

No online service can guarantee perfect security. You are responsible for using a strong password, keeping credentials confidential, and contacting us if you suspect unauthorized account access.

9. Children and students

Case Room is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information to Case Room, contact us so we can review and delete it where appropriate.

Users under the age of majority should use Case Room only with permission from a parent or guardian.

10. International use

Case Room is operated with US-oriented defaults and uses service providers that may process information in the United States and other countries. If you use Case Room from outside the United States, you understand that your information may be processed in countries with privacy laws different from those where you live.

11. Changes to this policy

We may update this Privacy Policy as the product, providers, law, or business changes. If an update is material, we will take reasonable steps to provide notice, such as updating the date on this page or showing a notice in the product. Continued use after an update means the revised policy applies.
